Images are expected on a SharePoint page and can often show details that otherwise would take, well, a thousand words. You can add images from your local computer, SharePoint media libraries, or links from other locations on your site or the web. If you’re not in edit mode already, click Edit at the top right of the page.

Hover your mouse above or below an existing web part or under the title region, click , and then select the Image web part. If your organization has specified a set of approved images, you’ll be able to choose from that set under Your organization. Web search uses Bing images that utilize the Creative Common license.

You are responsible for reviewing licensing for an image before you insert it on your page. Click Open or Add image depending on where your image is coming from.

Click Edit web part on the left to change the image, add a link to the image, add text over the image, and to add or change alternative text for people who use screen readers. Automatic alternative text When you insert an image, alternative text for people with screen readers is automatically generated.

In many cases, the text is automatically saved with your image, unless you change or remove it. In cases where the confidence level of the alternative text for the image is not high, you’ll see an alert on the image that allows you to review and change or keep the alternative text.

Note: It’s a good idea to size your image before uploading to make sure it fits the space the way you want it to. Choose the Insert tab, and in the Media group on the ribbon, click Picture. Browse to the location of the file that you want, select the file and then click Open. Specify a destination library where you want to store the file.

We recommend that you specify an Asset Library as the destination. To learn how to set up an Asset Library for image files, see Set up an Asset library to store image, audio, or video files. The URL must point directly to an image file. Click From SharePoint.

This opens the Asset Picker , which you can browse for the folder or library that you want. Browse to a location on your site, such as an Assets Library , where images, video and audio files are saved. When you add images to a SharePoint page, you can customize it to better fit the page or stand out more.

For example, you can change its size or location, edit the Alt text, or create a border. On the Image tab, in the Select group, click Change Picture to change to a different picture. In the Properties group, you can enter or change the Alt text or Address of the image.

In the Styles group on the ribbon, point to Image Styles and then select the border style for the picture. In the Arrange group, click Position to change the position that the image takes in the space.

In the drop down, you can pick a floating position as either left or right, or an inline position of top, middle, or bottom in relation to other objects. In the Size group on the ribbon, you can resize the image. When you change one, the other will change to a proportionate size as well. If you uncheck Lock Aspect Ratio , your image’s horizontal and vertical sizes can be changed independently, though your image may become distorted.

When you finish making changes to the page, select the Page tab, and then click Save. If the page is checked out to you, you see a warning message together with a link so you can check it in. Having a picture on a page is good, but making it a doorway to another page is even better. Here’s how to make an image a live link. In the Add Hyperlink dialog, type in the Address to the webpage, site, or other media you want to link to. You can test the link by clicking Try out. From a page, in the ribbon, click the Page tab, and then click the Edit command.

Note: If the Edit command is disabled, you may not have permission to edit the page. You can add an image to any Web page that has a Page Image field control by picking the image from a library. When the image that is stored in the library is changed, pages that use the image automatically use the new image. When you use the HTML Editor to add an image to a Page Content field control, the image is also stored in a library, so that when the image in the library is updated, pages that use the image automatically use the new image.

When you create a new page, if you want the page to have an image, you can create the page by using a page layout that has a Page Image field control. Tip: One way that you may be able to tell whether a page has a Page Image field control is to edit the page. When you edit a page, each field control on that page displays a label. Page Image field controls on pages created by using page layouts that are included with Office SharePoint Server are labeled Page Image.

This may or may not be the case for pages created by using custom page layouts that are designed by someone with Design permissions for your site.

The following page layouts that are included with Office SharePoint Server contain a Page Content field control:. Tip: One way that you may be able to tell whether a page has a Page Content field control is to edit the page.

Page Content field controls on pages created by using page layouts that are included with Office SharePoint Server are labeled “Page Content”. Browse to the page to which you want to add an image, and then click Edit Page on the Page Editing toolbar.

In the Page Image field control, click Edit Picture. The Images library opens in a new window. Click the image that you want to use, and then click OK. The Image library closes, and the address of the image that you selected now appears in the Selected Image box.

Alternate Text Type text that briefly describes the image. This text is displayed instead of the image if the page viewer’s browser does not display the image. Alternate text is also read by screen readers. Hyperlink The image can optionally act as a hyperlink. Type the desired hyperlink target in this box. You can also use the Browse button to locate a target for the hyperlink. Alignment You can change the position of the image within the field control by choosing from the Alignment list.

Since a Page Image field control is sized to fit the image, this option does not have a noticeable effect when used on an image that is in a Page Image field control. Border Thickness You can give the image a border by specifying the thickness of the border. Border thickness is measured in pixels. Horizontal Spacing You can add spacing on both sides of the image by specifying a value, in pixels, for the size of the space.

Vertical Spacing You can add spacing above and below the image by specifying a value, in pixels, for the size of the space. Use default image size Select this option if you want the image to appear in its default size, which is the size specified by the image file’s properties.

Specify Size Select this option if you want to specify the size of the image on the published page. This overrides the image file’s size properties. If you select this option, you must set the width, the height, or both for the image by using the Width and Height properties.

Width pixels If you select Specify Size , you use Width pixels to specify the width of the image in pixels.

Height pixels If you select Specify Size , you use Height pixels to specify the height of the image in pixels. Maintain aspect ratio You can use this option to preserve the ratio of the image’s width and height.

If you select this option, you can only set either the width or the height of the image, because the value that you choose for the image’s width or height determines the value of the other dimension based on the ratio of the original image width and height.

Position the cursor in the Page Content field control in the spot where you want to add the image. If you select this option, you can only set either the width or the height of the image, because the value that you choose for the image’s width or height determines the value of the other dimension, based on the ratio of the original image width and height. Interface Once you have Word running, you will notice a completely redesigned toolbar, now known as the Ribbon, with many familiar commands in new places. While it’s a challenge to upgrade, those learning Word for the first time may find its features easier to stumble upon than they would have with Word For instance, the new interface better presents page view options that used to be a hassle to get to. From the View tab, now you can simply check a box to see a ruler or gridlines, or click the Arrange All button to stack various open Word documents atop each other.

Although we sometimes mixed up the placement of commands within the Review and References tabs, those features were still easier to find than in Word Microsoft placed a lot of emphasis on the wow factor of Office’s galleries of graphics, which share the Aero look of Windows Vista and are found throughout the Office applications.

Pull-down menus of fonts, color themes, and images let you preview changes on the page before making them. And thankfully, Microsoft killed Clippy, the cartoonish helper. Now a less-intrusive quick formatting toolbar shows up near your cursor. Keyboard shortcuts remain the same; pressing the Alt key displays the corresponding quick key for each Ribbon command. A running word count is always present in the lower-left corner, and the new slider bar for zooming in and out is a terrific, no-brainer improvement, particularly for the vision impaired.

Features Aside from the interface, the other radical change in Word is its new file type. Microsoft has taken steps to ease this transition, but we anticipate that it will not be smooth for many users.

What happens when you’re sharing work with people who use an older version of Word? Word and are supposed to detect when you first try to open a DOCX file, then prompt you to download and install an Office Compatibility Pack. After you’ve done this, the older Word should convert your Word files and remove incompatible features.

When you reopen that same DOCX file again in Word , the file’s original elements are supposed to stay intact. On the other hand, if you open an older DOC file within Word , it will also run in Compatibility Mode, shutting off access to some of the newer program features, which explains why two documents within Word may display different formatting options.

Among the small tweaks in Word that make formatting easier, rollover style galleries let you preview the changes. However, the constant shape-shifting of the galleries can be distracting. And some options, such as for adjusting margins, use an older-style dialog box rather than the live preview menus.

Click the graphic, and the Picture Tools Format tab lets you tweak the brightness, the color mode, and the contrast of a picture. You can also rotate it, crop it, skew its angle, add 3D effects and shadows to its borders, and convert it to all manner of shapes, such as a thought bubble, an arrow, or a star. Options for positioning an image and wrapping text around it are also front and center, which should be helpful for creating professional-looking business documents, as well as casual party invitations.

You don’t get nearly the amount of control offered by Microsoft Publisher, QuarkXPress, or Adobe InDesign , but Word may do the trick for ultrabasic desktop-publishing needs. For those who don’t need all the formatting choices, we’re glad that Word doesn’t apply a complex style to our text by default. In Word , we’d have to highlight all the text, and then Clear Formatting to remove unwanted indentations and bold letters.

You can choose from galleries of text styles, such as Emphasis, Strong, or Book Title, and easily create your own styles and set them as a default. While Corel WordPerfect has traditionally offered better features for managing longer documents, Microsoft Word has improved a bit in this regard. For those working on a dissertation or book report, the References tab lets you manage citations and bibliographies in styles from APA to Turabian.

Just click Next Footnote, and the cursor takes you there. However, the Table of Contents feature still isn’t easy to figure out. Editors who collaborate on documents with others can make use of the Review tab. The new Compare pull-down menu lets you look at two versions of the same document side by side, as well as merge changes from several authors and editors into one file.

Administrative assistants and those charged with mass-mailing tasks should find those features much easier to access than in Word Bloggers can now compose and post entries to their Web sites without leaving Word. If you deal with sensitive information–in a private diary entry, a resume, or a company financial statement, for example–Word allows more control over buried data, such as the original author’s name or your supervisor’s cursing comments.
